  • Overview

    This position requires working knowledge of the agency structure, human resource and administrative policy and procedures, as well as daily agency practices to insure the most favorable degree of performance. 


    • Answers multi line phone system, directs calls or takes messages. 
    • Reviews timesheets for accuracy and completion.  Maintains the flow of information to the Corporate office for purposes of billing, payroll, accounting, and HR.
    • Possesses knowledge of company personnel policies and benefits.  Assists with maintenance of all personnel files, for staff and volunteers.  Orients new employees to company benefits and assists employees with questions regarding payroll, benefits, and insurance.
    • Maintains an appropriate level of office supplies, medical supplies, forms and petty cash. 
    • Responsible for reviewing and preparing A/P invoices.
    • Maintains a financial file on each patient in order to ensure accurate payment.
    • Responsible for referral intake and processing to include verification of insurance benefits, Medicare and Medicaid eligibility. 
    • Responsible to follow referrals through to admission.  Coordinates with nursing personnel to ensure the admission process occurs in a timely manner.
    • Responsible for obtaining documentation of initial and ongoing authorizations from private insurances and State Medicaid programs as required by payer sources.
    • Performs verification of physician licensure on all admission attending physicians. 
    • Initiates patient medical records and performs admission audits according to compliance standards.   Maintains patient medical records.
    • Responsible for tracking of outgoing and incoming physician orders.
    • Assists nursing personnel in arranging for general inpatient or inpatient respite care in a contracted facility as needed.
    • Assists in the preparation and mailing of IDT plan of cares, discharge and or transfer summaries and other correspondence needed to ensure continuity of patient care between the agency and attending physician or other contracted health care provider.
    • Participates in the Performance Improvement activities as requested by the Administrator.



    • A high school graduate or equivalent with current computer application experience and ability to type 60 wpm.  
    • Supervisory experience, preferably in the medical field with knowledge of medical terminology.
    • Ability to effectively communicate with medical personnel and have strong organizational and interpersonal skills.
    • Must be assertive, have problem solving skills, ability to prioritize and complete job duties.
    • Must have the ability to accept supervision and follow instructions.
